Browns Boarding provides home boarding and doggy day care services in Bishopstoke, Eastleigh and the surrounding Hampshire area.

We collect customer identity and contact details, addresses, emergency contacts, account information, communications, booking requests and payment records.

We also collect information needed to care for dogs safely, including identification, routines, behaviour, compatibility, feeding, medication, veterinary details, vaccination evidence and parasite-treatment information.

Where a refund is approved, we collect the account-holder name, sort code and account number needed to make the bank transfer. We use this information only to administer the refund and reconcile the payment.

Refund bank details are encrypted while stored. Authorised Browns Boarding administrators can temporarily reveal the details when making the transfer, and each reveal is recorded in the refund audit history.

The complete account name, sort code and account number are removed when the refund is recorded as paid. The final two account-number digits may be retained with the refund record for reconciliation, audit and dispute handling. Full bank details are not included in operational notification or refund-confirmation emails.

We use personal information to operate customer accounts, assess suitability, check availability, manage bookings, payments and refunds, provide safe care, contact customers and emergency contacts, maintain business records, prevent misuse and meet legal or licensing obligations.

Our main lawful bases are taking steps at your request before entering a contract, performing our contract with you, complying with legal obligations and our legitimate interests in safely operating and protecting Browns Boarding.

Dog health and veterinary information is used where relevant to safe care, emergency decisions, treatment instructions, vaccination checks and the protection of animals in our care.

Where necessary, relevant information may be shared with a veterinary practice, emergency provider or another person you have authorised.

We use trusted technology providers to host the website and database, authenticate accounts, store uploaded evidence, send emails and synchronise operational calendars. These may include Supabase, Vercel, Google Gmail and Google Calendar.

We do not sell personal information. Information is shared only where needed to provide the service, meet a legal obligation, protect safety, establish or defend legal rights, or with your instruction or consent.

We retain information only for as long as reasonably needed for customer service, animal welfare, accounting, refund reconciliation, insurance, dispute handling, licensing and other legal obligations.

Retention periods vary by record type. Information that is no longer required is deleted, anonymised or securely archived where appropriate.

We use access controls, authenticated accounts, role-based permissions, encryption for refund bank details and managed service providers to protect information. No internet service can guarantee absolute security, but we take proportionate steps to prevent unauthorised access, alteration, loss or disclosure.

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, objection, portability or withdrawal of consent.

You may also complain to the UK Information Commissioner's Office. We would appreciate the opportunity to address a concern directly first.
